Can I phone from any phone?
Your mobile number identifies you as the caller so you need to use this phone. You can also register a landline but caller ID has to be activated.
What if there is background noise and you can’t hear the message?
It’s the same as with a usual voicemail. Technology we use minimises external factors including noise. However, if we are unable to hear the message we will offer the best we can with any inaudible words being posted as blanks.
If someone steals my phone can they have access to my Voicenotes?
No, you have a unique password to access your voicenotes on the website.
If I change my mobile number what do I do?
Just let us know. You can edit the settings via the website or call/ email Voicenotes administrator to amend the number.
What is the minimum and maximum time I can leave a message?
None, there is no minimum or maximum limit.
How much does a call cost from my mobile?
The number is a national rate, your phone provider will set the charges for the call. Voicenotes do not charge for the call. The voicenotes service is billed to your company.
How long does it take for the Voicenote to be processed?
It varies. Average time is 20 minutes during working hours but we aim for less during the day. If you leave a voicenote in a taxi coming back from your meeting, it'll be waiting for you in your inbox when you get back to your desk. Voicenotes left outside working hours are guaranteed on your desk by 0900 the next working day.
How does it work?
The combination of automated technology and routing, plus a vital component of human quality control.
How accurate is it?
If the message is audible it will appear just as you left it but don’t just take out word for it, sign up for a free trial.
Can I have the audio file?
These can be provided but it’s not part of the usual Voicenotes service. If that’s regular necessity, it will be necessary to apply an additional charge to the Standard Rate.
Can I have messages other people leave on my mobile sent to Voicenotes?
Yes, if you set your mobile to divert calls to your Voicenote number, their messages will be written up as if it was your Voicenote. However you will need to have your own Voiecnotes’s telephone number for identification purposes. This can be provided at a small additional annual charge.
Can you sms the message to me?
Voicenotes is an email service only.
How much will it cost?
Voicenotes Ltd. charges a single monthly fee based on the size and number of Voicenotes users. This fee entitles your organization to unlimited usage of the system, including unlimited email forwarding, unlimited mailing lists, and telephone/email support. Minimum fee is £500 per month.
It is our policy to provide essentially unlimited resources for our clients within the bounds of reason. In rare cases, Voicenotes may find a customer to be using resources to such an extent as may jeopardize performance and resources for other customers. In such instances, the client will be contacted with a view to moderating the demands. Under these circumstances Voicenotes reserves the right to re-negotiate the terms with the client. If agreement cannot be reached Voicenotes Ltd. reserves the right to terminate the account giving one weeks notice.
How long is the contract?
The standard contract is for 12 months.
Can I add another person to my organisation?
Yes, no problem. Just tell us who you'd like to add and we'll let you know if we need to adjust your monthly subscription.
Language/tone?
We will not translate expletives or any other comments which we feel may cause offense.
Can I use it for personal as well as business?
Whatever Voicenote you choose to leave is up to you but it’s designed for business use.
What if I’m calling from abroad?
No problem, the only increase in price may be from your mobile operator as you may have to pay an increased charge from calling overseas. The quality and timing considerations from Voicenotes won’t be affected. If you call from another phone (not your registered mobile), all you need to do is leave your mobile number before your message so we can identify you.
Why wouldn’t I phone my secretary and ask her/him to write it up?
You could, but she /he may not always be there to take a message, is not there 24/7, may have other priorities. Voicenotes is always there.
I use a dictaphone, what are the benefits of using Voicenotes?
Playback from a dictaphone can be problematic (rewinding, replaying etc.), Voicenotes website delivers your message in printed form without the hassle.
